Day of Show: The VenuePilot Onsite Manual and Checklist

To avoid any technical issues and ensure that the day of an event runs smoothly, refer to the checklist below:

 


Scanning Tickets


Tickets can be scanned using the VenuePilot app on an iPhone, iPad, iPod Touch, or M1 Powered Mac computer. The official VenuePilot app can be downloaded on the Apple App Store. Be sure that the latest OS is installed and that the device is connected to a reliable WiFi, Internet, or 5G source. Devices will work best with high-speed Ethernet WiFi. 


Ensure that all devices are fully charged. We recommend having backup portable chargers available for any devices running low on battery.


 All customers should have a copy of the QR code connected to their ticket, which can be found on https://my.venuepilot.co or attached to their confirmation email.


In the event of an issue with Internet connectivity, we recommend having copies of the will call and guest lists printed out. Customers should arrive with IDs for guaranteed entry.


VenuePilot App


All devices should be logged into your venue’s VenuePilot account prior to being used to scan tickets. Alternatively, any employee with a VenuePilot account in your organization will be able to sign in with their email.

Roles and Permissions


Before an event, we recommend checking the permissions you have set for your venue employees. To edit these, go to Settings → Roles in your VenuePilot account. From here, click on the edit pencil on the role to adjust what each employee can view, read, and/or edit. This can include features such as the number of tickets sold, the concessions and bar sales, event notes, hospitality and tech riders, and the will call and guest lists.
