Sell and Scan Tickets with the VenuePilot Box Office App

The VenuePilot app for iOS, iPadOS, and M1 powered Apple Computers is your solution for selling and scanning tickets at the door.

The VP Box Office app is only compatible with the Stripe M2 credit card reader OR Tap to Pay on compatible devices

Selling Tickets

  • Once you have downloaded the app, sign in with your same VenuePilot credentials you use to login online
  • Once logged in you will automatically see your organization's events. Go to the three dashes in the top right to switch between multiple organizations:

  • Events are color coded as:
    • Pink = events with box office tickets on sale
    • Yellow = events with tickets, none at box office
    • Blue = events with no tickets for sale

  • Tap any event to open up the box office view

  • When you are in your event, tap 'Attendees' to see ticket purchasers for your event
  • The number of tickets sold is on the left
  • The number of tickets scanned is on the right below the 'tap attendees' button (NOTE: clicking on either box will open up the full attendees list)
  • Tapping the + sign will add tickets to the cart.
  • Tapping the - sign will remove them.
  • Tap discount to apply a previously-built discount code.
  • Use the check boxes to select if you would like to *charge Sales Tax, CC Processing, or any additional royalties. Read here for more on box office fees and setting permanent fees.

Tap charge to bring up the purchase modal for cash or credit sales.

Payment Methods

  • Cash: Enter the cash tendered and change will be calculated automatically
  • Manually enter credit card info: For charging credit cards when you don't have a Stripe M2 Credit Card Reader
  • Credit Card Reader:
  • When the order has successfully processed, a message will display that the purchase was successful.
  • If your event is in the future, the customer will be emailed a receipt and added to the will call list.
  • If your event hasn't started yet, you will be required to add First Name, Last Name and Email to process the order.
    • This is so that the purchaser's information is added to the Attendees' List.
  • If your event has already started, these items are optional and will default to "box.office@venuepilot.co." You have the option to check off "Mark tickets as scanned", which will automatically check the ticketbuyer in. If this box is not checked, then first and last name are required.

Scan and Check-in Attendees 

You can check in attendees one of three ways:

To start, go to your Attendees' List from inside the event you wish to check-in.

1. Tap the Camera Icon:  The camera icon is found inside of the attendees' list.  Tapping the icon will bring up a camera that scans the QR code that is attached to the ticket. Once the camera is on you can immediately begin scanning tickets. All scanned tickets from each session (including names and emails) will show underneath the camera.

Validate Mode: 

Validate mode in the camera icon allows you to check the validity of the ticket for an event without checking it in. To switch to validate mode from scan mode, go to the menu in the top right hand corner of the main box office screen and click on "Settings":

When a ticket is scanned in validate mode, the label will show as "TICKET VALID":

2. Swipe on the Attendees' List:   Swipe right to scan all or the next scannable ticket within the order. You can also tap the order to bring up individual barcode numbers.  
To check out a ticket, swipe left on the order.
  • 'Unscan all' will check out all tickets within the order.
  • 'Unscan next' will check out one ticket within the order.

3. To check in individual tickets within a larger order: Tap on the ticket purchaser's name to bring up the individual ticket ids within the order. Tap on the checkbox next to the ticket to select the ones you would like to check in. Tap 'check in' at the bottom to finish.
